The Project Manager, Individual Giving is responsible for executing and monitoring strategic interactions with donors and prospective donors to enable the Individual Giving team to meet their annual fundraising goal and to develop relationships that will enable Medicine & Biological Sciences Development (MBSD) to be successful in a $1.2B campaign. Serves as project manager for the team's activity and is responsible for implementing tactical next steps to ensure goals and objectives are met.
Assists the Associate Vice President in staffing board committees and other auxiliary boards such as the Comer Development Board, UCCRF, and others as appropriate.
Interacts with donors and their advisors, the Vice President and Associate Dean of MBSD, University of Chicago Medicine (UCM) Trustees who are donors and prospective donors, administrative staff of the UCM CEO/Dean, UCM Hospital President, Medical Leaders, and colleagues on all MBSD teams.
Manages a budget of up to $100K.
The Manager is a project manager for the team's activity and is responsible for implementing tactical next steps to ensure goals and objectives are met. As such, s/he closely monitors team activity and anticipates and tracks deliverables, including letters, briefings, reports, presentations, and proposals. S/he facilitates internal meetings and facilitates fundraiser visits with donors and prospective donors to advance prospect strategy. With respect to team meetings, s/he contributes agenda items that advance strategy and ensure outcomes.
The Manager will be a Secondary Moves Manager for donors and prospective donors. As a Secondary Moves Manager s/he will collaborate directly with the Associate Vice President and/or the Vice President and Associate Dean. To fulfill this role s/he:
Coordinates logistics for donor visits, cultivation visits, and solicitations with the offices of the UCM CEO/Dean, and Medical Leaders; Works with the Protocol Officer in coordinating the calendar of Institutional Leaders with the Principal Gift officers and donors/prospective donors; Prepares briefing documents to prepare participants in cultivation, solicitation, and recognition visits; Is project manager for proposals and coordinates with the Development Marketing and Communications team for those proposals on which they collaborate; Drafts acknowledgements, special greetings, and letters for cultivation purposes; Coordinates recognition and stewardship with the Donor Relations team; Does basic prospect research that informs briefings, strategy, proposals and solicitations; Collaborates with Strategic Research and Analysis team on defining the need for in-depth research and negotiating the timeline for such research; Participates in visits as is appropriate for the prospect; May draft solicitation proposals; and Collaborates with Individual Giving Project Assistants on maintaining the Top Prospect list and evaluates, proposes and implements a Griffin based system for tracking Principal Gift prospective donors.
The Project Manager assists the Associate Vice President in staffing Board, Committees and other auxiliary boards such as the Comer Development Board, UCCRF, and others as appropriate.
S/he assists the AVP in managing the Individual Giving non-salary budget by overseeing timely and accurate processing of invoices and reimbursements. S/he oversees the review of monthly budget reconciliation statements and assists in the resolution of related issues. S/he monitors spending and budget to ensure on-target expenses; and alerts the AVP of any variances.
S/he participates in annual business planning.
Experience and Competencies
A minimum of two years of full-time professional experience in development or a related service-oriented field required.
Development experience preferred.
Ability to work on multiple projects simultaneously, set priorities, and meet deadlines required. Ability to work well within a team of highly motivated individuals required. Outstanding interpersonal and communications skills characterized by the ability to write well with a strong commitment to customer service required. Excellent diplomatic skills required. Ability to maintain confidentiality required. Ability to learn and manipulate databases required. Ability to attend and help with weekend and evening events required. Ability and willingness to travel required. Valid driver s license required.
Proficiency with MS Office Suite, including Word, Excel, Access, and PowerPoint preferred. An understanding of the University of Chicago, its history, mission, demographics, faculty, current programs, departments, and processes preferred.
