Albany Park Community Center (APCC), an Equal Employment Opportunity Employer, is seeking a full-time Senior Office Administrator/ Administrative Assistant. The responsibilities of this position include development and implementation of an effective administrative structure; management and coordination of the CEO’s calendar, senior team schedules, other meetings and activities; serving as liaison to the board of directors and overseeing special projects in order to ensure a high quality of service delivery to our clients and a professional workplace for our staff that positions APCC for future growth.
Work Schedule: Monday - Friday, Full-time
Examples of Duties and Responsibilities:
Provides administrative support to senior leadership team as needed
Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement.
Develops and manages organizational and building calendar of events and activities
Keeps management informed by reviewing and analyzing special reports; summarizing information; identifying trends.
Manages leadership team schedules and troubleshoots scheduling conflicts as they arise
Maintains supplies inventory, anticipating needed supplies, placing and expediting orders for supplies, verifying receipt of supplies
Trains and supervises front office and other administrative support staff
Designs, implements, and oversees adherence to office policies and procedures
Analyzes and monitors internal processes
Implements procedural and policy changes to improve operational efficiency
Prepares operational reports and schedules to ensure efficiency
Serves as staff support to the APCC board of directors (coordinates general board and committee meetings, takes and manages meeting minutes, etc.)
Adheres to compliance with applicable rules and regulations set in bylaws regarding board and board committee matters, including advance distribution of materials before meetings in electronic/paper format.
Participates as an adjunct member of the senior leadership team including assisting in scheduling meetings and attending all meetings
Assists in coordinating the agenda of senior leadership team meetings and all-staff meetings
Performs other activities as assigned
Bachelor's degree preferred
Associate’s degree or high school diploma with a number of years administrative and supervisory experience
Knowledge of clerical practices and procedures
Strong work tenure: five to 10 years of experience supporting executive level teams, preferably in a non-profit organization
Knowledge of business and management principles
Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), and Adobe Acrobat
