Overview: The Operations Assistant is often the first point of contact for constituents who contact the organization, and as such must be a compassionate and caring individual. The Operations Assistant is responsible for data entry, organization, and maintenance at LUNGevity Foundation, as well as for basic constituent services.
The Operations Assistant should be detail-oriented, possess exceptional organizational and data management skills, and exceptional customer service skills, having demonstrated the ability to:
Enter data into computer systems accurately and rapidly
Maintain an organized and efficient filing system of storage for data and physical inventory
Communicate clearly and effectively with a varied constituency, by phone and by email
Work successfully within a team environment
Learn new technologies and acquire new skills
Accomplish time-sensitive tasks efficiently
Answer and direct phone calls
Be willing to accept new responsibilities based on the needs of the organization
Responsibilities include, but are not limited to:
Processing receipt of gifts and other transactions made via mail, e-mail, online fundraising tools (DonorDrive), phone, and any other channels.
Generating donor acknowledgement letters
Maintaining databases (DonorDrive, Raiser's Edge) to insure that all data are up-to-date and accurate in a timely manner.
Receiving, tracking, and maintaining physical inventory of in-kind gifts.
Maintaining physical paper file system for gifts.
Assisting in building and maintaining event websites
Mailing/shipping out literature and event-day materials
Answering office phones, directing phone calls and messages, checking fax machine and distributing accordingly, and general office support.

Four-year college degree preferred.
Minimum of 2-3 years of database support/data entry experience.
Minimum of 2 years of customer service support.
Proficiency in Microsoft Office (Word, Excel, Powerpoint).
Knowledge of Raiser’s Edge: Proficiency in generating mailing lists, queries, and reports.
Knowledge of DonorDrive or similar inline
Excellent attention to detail and accuracy in recording information.
Excellent organizational skills with an ability to prioritize workload.
Ability to create and maintain files and operate basic office equipment.
Good customer service plus good oral and written communication skills.
