Within Greenheart Exchange, the Work and Travel (WT) Department has J-1 designation by the U.S. Department of State to bring international university students to the United States on a cultural exchange program that allows them to work for a period of 8 weeks to 4 months. Greenheart Exchange’s WT program is dedicated to extending the mission of cultural understanding, environmental consciousness and world peace by connecting enthusiastic international students and American Host Organizations. As the only non-profit green J-1 visa sponsor, we pride ourselves on providing a quality experience, while encouraging and enabling Greenheart staff, participants and Host Organizations to work together on projects that promote environmentalism and sustainability.
Operations Assistant works closely with Operations Manager and Operations Director to ensure timely and efficient processing of the key Operations items. The Operations Assistant is responsible for daily processing of the pre-assigned items, create daily schedule, work with a team of Temporary Program assistants. Position will include responsibilities that directly relate to Department of State compliance, such as SEVIS reporting of country/DS-2019 dates, biographical/housing/ site of activity information and assistance with bi-annual Department of State placement reports and statistical summaries that are due in July and January. The position is heavy on data entry and numbers tracking.
Some things you might do as our Operations Assistant:
Work directly with Operations team to determine timely processing of Self-Placed (SP) program participants’ applications
Oversee timely processing of Self-Arranged Job Offers (SAJOs)
Online queuing system Job Offer processing
Adhere to strict SAJO verifications deadlines and timely turn-around
Ensure that verification updates are properly communicated to the overseas sending partners
Keep track of SP season numbers
Serve as point of contact for Pool Management companies
Serve as point of contact for SP participants
Serve as point of contact for overseas partners
Conduct end of season SP program analysis and propose improvements
Keep track of participant invoicing
Serve as Alternate Responsible Officer (ARO) in SEVIS
Process incoming and outgoing shipments
Carry Emergency Phone
Qualifications you should have:
Bachelor's degree from a four-year college or university
Exceptional attention to detail
Can manage multiple priorities and able to work in a fast-paced environment.
Experience in the Microsoft Suite (especially Microsoft Excel)
Experience with reporting, inventory, and/or budgeting
Take initiative and creatively problem solve
Work independently and on a team
Positive, flexible personality with a willingness to learn; applicant should be a proactive, diligent, and a creative self-starter
Fast learner and open to taking on multiple initiatives
Genuine desire to contribute to an organization that promotes cultural exchange and environmental consciousness
Travel experience preferred
Compensation: Commensurate with experience
