Lyric Opera of Chicago exists to provide a broad, deep and relevant cultural service to the Chicago region and the nation, and to advance the development of the art form of opera.
We are searching for a Donor Records Coordinator to be responsible for accurate and timely processing of all Development Department revenue transactions and the administration of acknowledgements for all contributions. This position is important because of its wide range of implications, including financial results, customer service, and Tessitura issues.
DUTIES AND RESPONSIBILITIES:
Demonstrate Leadership in accordance with Lyric’s mission and vision.
Accurate and timely processing of all Development Department revenue transactions in the Tessitura system, including but not limited to: donations, pledges, payment schedules, matching gifts, membership dues, special event admissions, sponsorships, in-kind gifts, and merchandise orders.
Enter and track numerous data elements for each entry, including campaign, fund, membership level, appeal and benefit status. Monitor all data elements for 100% accuracy due to the wide-range of implications.
Process all “non-routine” entries, including credits, adjustments, transfer of revenue to/from other departments, etc.
Prepare, generate and personalize acknowledgement letters for each contribution, calculating and including the tax deductible portion of the contribution as well as pertinent benefit information. Personalized letters are signed by the Chairman. Additional personalized letters are prepared for and signed by the General Director.
Maintain Tessitura database including identifying information, membership level, program listing preference, constituencies, attributes and special notations for the use of all departments.
Assist in preparation of donor listings, commemorative gift page, and special event/activity recognition lists for the Annual Report, Season Programs, website and other documents.
Fulfill basic benefits.
Process all Graham Room payments to the Navision database.
Provide superior customer service to donors wishing to make contributions by telephone and/or inquiring about the status of their donations, tax deductibility and benefits.
Maintain accurate files of Donor Records documents.
Monitor supplies and documents necessary for completion of Donor Records work; order or inform appropriate staff when additional items are needed.
Attend and assist at department events, such as dress rehearsals, donor luncheons, fundraising benefits (Wine Auction, Opera Ball) as assigned; assist with other department initiatives or projects as requested.
Management retains the option to change or add to the duties of the position at any time.
Ability to occasionally oversee evening or weekend functions, deployments or performances
Sitting for extended periods of time
Ability to operate a computer keyboard, mouse, and to handle other office equipment
KNOWLEDGE AND SKILLS:
Bachelor's Degree from an accredited college or university
Prior experience working with Tessitura’s contribution processing module preferred
Genuine passion for order
Outstanding written communication skills
Scrupulous attention to detail and strong mathematical aptitude
Working knowledge of and comfort working with Microsoft suite of products
Ability to work and think independently, a motivated self-starter who also works well in a larger team.
