This role will serve the critical function in ensuring Navy Pier employees are paid timely and accurately, ensure compliance with labor contracts, statutory regulations and internal policies.
Navy Pier currently pays three distinct employee populations on a bi-weekly basis consisting of a full-time administrative staff, a seasonal hourly staff, and union-represented staff. Seasonal hiring is cyclical and peaks in May and November of each year. Go-live date for the implementation of ADP Comprehensive Payroll is targeted for November 1, 2017.
Essential Duties and Responsibilities:
Proactively support the payroll function in executing pay processes across Navy Pier.
Analyze time records and process payroll in accordance with the provisions of Federal, Illinois and/or various labor contracts.
Ensure full-cycle payroll integrity, owning accuracy from data input to service provider transmission to proofing output to delivering pay vouchers to staff to accounting journalization.
Effectively coordinate fringe benefit deductions and payments/reports to third parties, including wage garnishments and union dues. Generate reports to calculate or verify accuracy of payments. Submit requests for payments in a timely manner.
Reconcile payroll-related balance sheet accounts and resolve discrepancies in a timely manner.
Verify the payroll software’s calculation of 401(k) deferrals and employer contributions. Remit funds to Plan custodian in a timely manner. Ensure payroll records reconcile with custodian records.
Demonstrate strong customer service in responding to employee inquiries regarding paychecks, Work with appropriate internal department supervisors and/or external software vendors to resolve issues and correct discrepancies in paychecks and related payroll systems/records.
Partner with HR colleagues to implement and advocate sound payroll practices and procedures.
Audit and reconcile quarterly 941 reports, as prepared by third-party payroll provider, and resolve discrepancies prior to IRS filing.
Lead year-end W2 tie-outs and distribution of W2s.
Calculate and journalize month-end and year-end payroll accruals.
Assist Risk Management function with workers’ compensation audits.
Assist Finance team with 401(k) audit.
Ensure third-party sick-pay is properly recorded on employee’s payroll records.
Strong proficiency with payroll/HRIS systems (ADP Workforce Now, E-Time) and accounting systems (currently in transition).
Mastery of accuracy and time-management as demonstrated by payroll and benefits preparation for multiple employee populations, including union groups.
Demonstrated ability to handle sensitive, confidential information.
Demonstrated problem-solving and organizational skills, attention to detail, and strong math aptitude.
Outstanding communication skills with the ability to provide customer service to internal and external contacts, including handling confidential information.
Ability to work and think independently, a motivated self-starter who also works well in a larger team.
Proficiency in Microsoft Excel and other Office products.
Bachelor’s degree from an accredited college or university in business administration or a related field.
Fundamental Payroll Certification (FPC) or equivalent credentials preferred.
Minimum of five years’ of payroll experience preferred.
Payroll experience in an organized labor setting strongly preferred.
