The Administrative Support Specialist will provide administrative, organizational and communication services to the President/Executive Director and Agency Directors.
Essential Job Functions/Responsibilities:
Implement and monitor projects as directed by management and see the projects through to completion
Perform complex and confidential administrative support functions including written correspondence
Serve as administrative liaison between President/Executive Director and Board of Director
Participate in agency’s volunteer program
Participate in agency’s grant application/request for funding initiatives and maintain files, as required
Participate in agency’s outcome measurement program and prepare reports, as required
Generate memos, emails and reports when appropriate
Assist in agency’s Human Resources department including maintenance of confidential personnel files, on-boarding and on-going training of agency staff, interns and Board of Directors
Create/revise agency policies/procedures/forms, as needed
Respond to questions and requests for information
Serve as back-up for front desk on weekdays and Saturdays, as needed
Reports directly to the Operations Director.
Documents all services provided according to agency policies, procedures and quality assurance guidelines.
Adheres to all Agency policies and procedures.
Associate or bachelor’s degree
Cooperative attitude, team player, strong interpersonal and communication skills, both oral and written.
Excellent computer or organizational skills, with superior knowledge of Microsoft Office, Word, Power Point, and Excel
Excellent customer service orientation
Demonstrated ability to function with deadline pressure
Ability to handle multiple tasks and assignment with correct priorities
