Basic Functions: 1. Answers, screens and transfer a high volume of calls to the appropriate staff members; takes messages and relays information as appropriate. 2. Complies with all Agency and Program policies and applicable laws related to confidentiality 3. Confirms Daily immigration specialists' appointments by contacting the clients in advance. Prepares monthly appointment book for all program sites. 4. Greets all clients and visitors and directs them with a professional and warm tone. 5. Provides receipts for all money orders collected from clients for immigration services provided. Balances receipt book daily. Provides a monthly report on all fees collected. Prepares check requests. 6. Ensures operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories. 7. Schedules and organizes meetings, department activities for all members of the department, and arranges meeting space. 8. Assists the Program Director in completing regularly scheduled reports and other tasks as assigned. 9. Prepares correspondence as assigned; sorts and distributes incoming correspondence to the appropriate staff members; ensures the daily distribution of client satisfaction surveys and gathers completed surveys. 10. Maintains supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies. 11. Maintains an organized work environment
12. Must be fluent in English and Spanish to provide services for clients with limited English proficiency
Preferred Requirements: Bachelor’s degree. Five years of relevant experience.
Minimum Requirements: High School diploma. Three years of relevant experience.
