ESSENTIAL FUNCTIONS: Under the supervision of the Director of Youth & Community Services the Administrative Receptionist’s basic function is to provide administrative support to multiple Directors, operating with a high degree of independent judgment and professional character.
DUTIES AND RESPONSIBILITIES:
Perform administrative and office support activities for multiple Director’s.
Assist in administrative duties including making copies, filing records, preparing mailings.
Perform receptionist duties including answering phones, taking and delivering messages, and assisting members of the public.
Maintains a warm and friendly manner in greeting guests and visitors.
Maintains an open channel of communication to all visitors and telephone calls, directing them to appropriate parties.
Maintains up-to-date information on agency programs and procedures.
Provides relevant verbal and written agency information to staff, parents, and public as directed.
Observes the confidential nature of the agency's service to its clients.
Reflects agency image in appropriate manner, behavior and dress.
Records required information.
Attends regular supervisory sessions with supervisor.
Performs other duties as assigned.
Associate’s Degree required.
Administrative experience preferred
Excellent organizational skills and detail-oriented.
Good verbal and interpersonal communication skills.
Knowledge with Microsoft Office, Outlook, Word, Excel and other software. Internet search skills and graphics experience helpful.
Bi-lingual skills (English-Spanish), spoken and written are required.
Experience with databases.
Flexible in work hours.
Hours: Full-time; year round
