The American Academy of Pediatrics (AAP), the nation’s leading advocacy organization for children’s healthcare, seeks a Meetings Assistant to provide administrative, customer service, and meeting planning support for AAP small meetings and Continuing Medical Education (CME) courses.
Assist Senior Meeting Planner with managing the AAP Conference Center and in-house cafeteria, including providing logistics support (i.e., food and beverage orders, room set ups, ground transportation, communication with vendors and staff and special requests). Attend meetings as assigned to provide on-site support.
Provide administrative support for the Senior Director, Meetings and Travel, including preparing reports and presentations, maintaining archives, meeting and budget history; replying to AAP-wide requests; scheduling appointments; booking travel arrangements; and processing expense reports and monthly credit card statements; etc.
Provide meeting planning support for all meetings as assigned, including customer service support to AAP staff regarding booking space in the AAP Conference Center.
Provide phone and customer service support for meeting registrants. Assist with course shipments, database entry and badge preparation.
Serve as administrative liaison to the Director, Travel Services.
Maintain AAP paid travel grids for the National Conference and Exhibition (NCE).
High school graduate or equivalent required. Bachelor’s degree in hospitality management, communication, business or related field preferred.
At least 1 year general administrative and/or customer service experience required. Experience with meetings or within the hospitality industry preferred.
Must be detail-oriented, display exemplary customer service skills, manage multiple priorities simultaneously, and collaborate effectively with various internal and external constituents.
Excellent interpersonal, time management, organizational, and verbal/written communication skills.
Strong technical acumen with proficiency in MS Office required.
Some overtime required, as well as the ability to be flexible with work schedule, including working one weekend per month to provide on-site meeting support. Some travel required, including working on-site at the NCE.
