Position Purpose: To steward the financial resources of NAMI Metro Suburban by
providing financial reporting of operations to the Finance Committee, the Board of Directors, and funders;
managing the grants and contracts that fund each program; reviewing the general ledger and quality control;
preparing financial reports and billing to funders;
preparing and renewing grant budgets, payroll processing;
assisting management in managing funds in a manner that maximizes program benefit;
understanding both funder contract requirements and changes in regulatory requirements related to funding;
and communicating and coordinating with funders, auditors and other outside stakeholders.
ESSENTIAL DUTIES AND RESPONSIBILITIES
This job description is not intended to be all-inclusive. Position will also perform other reasonably related duties as assigned by immediate supervisor.
The position will perform professional accounting work in accordance with generally accepted accounting principles (GAAP) and NAMI-MS’s accounting policies and procedures.
Reconcile all revenue and receivable accounts monthly for each program.
Prepare monthly revenue, receivable, expense and payables and any required adjusting entries for each program.
Prepare adjusting entries that directly impact individual programs. (e.g., allocation of staff costs, indirect expenses).
Prepare and maintain supporting documentation, and submit financial reports/billing statements to funders in a timely manner.
Manage the financial aspects of program audits as needed. Assist program managers in maintaining compliance with grants/contracts.
Communicate with funders and program management to resolve issues in a timely and professional manner.
Review financial reports and revenue/expense issues with program managers monthly.
Prepare budgets for new and existing programs and grant proposals as needed.
Process bi-monthly payroll via Paycor: verify attendance, hours worked, pay adjustments, deductions and processing of health deductions. Prepare payroll journal entries to book payroll to the general ledger.
Maintain strict confidentiality.
Participate in strategic planning.
Provide suggestions to maximize revenue opportunities and/or minimize expenses for programs and the organization as a whole.
Comply with contractual and regulatory requirements.
Meet with Executive Director and if applicable with assigned program managers monthly to discuss financial statements and budgetary issues for each program.
Supervise and review the work of the Bookkeeper.
Represent NAMI Metro-Suburban, Inc., in a positive and professional manner to all stakeholders.
Perform other tasks as assigned by the Treasurer, Executive Director and Board of Directors.
EDUCATION / EXPERIENCE / SKILLS
Must be well organized and detail oriented
Ability to communicate effectively both verbally and in writing
Ability to interact with staff and vendors in a professional manager
BA or BS in Accounting or Finance
Three to five years accounting/grant management experience working in a nonprofit environment required
QuickBooks software or similar financial software experience required
Knowledge of general ledger software
Proficient computer skills required: Word, Excel
Experience in auditing
Represents the values and practices of NAMI as delineated most notably by our affiliate.
Adheres to all agency policies and procedures.
Monitors program for compliance with NAMI standards and grant agreements.
Is fully knowledgeable of the responsibilities of this position and performs these in an efficient and effective manner.
Supports NAMI Metro Suburban’s mission, vision and strategic directions and administrative decisions.
Required to respect the confidentially of information about NAMI Metro Suburban clients, staff, and community partners.
