The ideal candidate will have a minimum of 2 years experience in:
Clerical Support for Finance, Advancement, Administration, HR, & Program Staff
Front Desk Reception (Oversees; supervises volunteers)
The Executive Administrative Assistant is a full time (40 hours/week) position working out of our Wheaton administrative offices.
Duties and Responsibilities:
Provides clerical services for administrative, and program staff.
Coordinates front desk/office volunteers.
Monitors building and office supplies, placing orders or arranging purchases with staff.
Collects receipts and reconciles monthly credit card bills.
Processes client and donor data.
Maintains all personnel records.
Maintains record of employee benefits for all full time employees.
Manages the performance evaluation process.
Assists with the recruiting and hiring process.
Serves as liaison to property management firm and janitorial staff for routine issues and checks common areas on a regular basis to ensure a clean, functioning work environment.
Assists with coordinating volunteer groups at the office.
Maintains agency records by implementing policies for records retention and proper, timely destruction of files.
Performs other duties as assigned.
Reports to Director of Finance and Operations.
Works closely with administration, advancement, HR and program staff to maintain flow of information.
Supervises front desk/office volunteers.
Qualifications and Characteristics:
A minimum of two (2) years in a higher-level administrative position is preferred
Proficient in MS Office Suite, Email and Internet.
The ability to manage multiple tasks and achieve deadlines.
Requires strong communication skills, both verbal and written.
Requires strong organizational skills, both analytical and problem solving, and the ability to work with confidential documents.
Must be able to function well with minimal supervision and have a commitment to teamwork.
Must have privately owned vehicle, valid driver’s license, good driving record, and auto liability insurance.
Must be able to lift 25 lbs. and stand, sit, and bend for periods of time.
