The role of the Manager, Events and Sponsorship is to lead and ensure the financial success and streamlined execution of ALL PAWS Chicago Events. The primary focus for this position will include Fur Ball, Beach Party and Animal Magnetism. This person is also responsible to assist the Director, Development and Events with the oversight and management of the PAWS Chicago Development board. Additionally, this person along with other members of the Events Team is responsible for contributing to the development and solicitation of the annual Desktop Calendar. The Manager must be available to work nights and weekends as needed, including events, fundraisers, dinners, committee meetings, etc.
Duties and Responsibilities
Partner with the Director, Development and Events and Chief Community Engagement Officer to develop the annual events goals, budget, strategy and plans
Meet or exceed budget goals for each event
Responsible for the event project plan and timeline, coordination with all internal stakeholders,
and successful execution of the event
Proactively guide supporting activities of the interns and volunteers and staff continuously providing clear direction on expectations, responsibilities and logistics to ensure seamless execution
Work with Director, Development and Events on all aspects of the silent auction, live auction and raffle for each event including solicitation and tracking of items, creating auction packages, writing package descriptions, conducting follow-up with winners after the events, etc.
Work with the mobile bidding vendor to develop auction website, provide day-of logistics, be primary contact on event day, process post-event payments, etc.
Actively research, identify and secure in-kind donors for each event to reduce expenses through donations including catering, décor, entertainment, goody bags, photographers, etc.
Manage all relationships and contracts tied to the event venue and outside vendorsincluding site selection, catering, decorations, entertainment, and auction
Co-lead all event committee meetings by setting up meeting space, organizing materials,and providing updates
Work with volunteer team to determine volunteer quantities and roles for each event, including updating descriptions and follow up as needed
Manage staff timelines, assignments, instructions and staff briefing pre and post event Manage events intern
Perform additional duties as assigned
Co-lead Development Board communications related to each event, including meetings, talking points, correspondence and sponsorship/auction/raffle requests
Lead Pride Parade efforts and coordinate activities with committee members
Assist Director in the identification, cultivation, growth and retention of event sponsors through various channels
Partner with Director, Development and Events, CCEO and Communications Team to develop sponsorship packages and proposals
Ensure goals and expectations of each sponsor are achieved for all events
Manage all coordination of all pre-event, day-of and post-event sponsorship activities
Partner with Director and Marketing in the development and distribution of all marketing collateral associated with each event including invitations, posters, flyers, advertising, web site, social media, etc
Collaborate with Marketing to plan and create materials for the event day including signage associated with registration, auction, raffle, sponsors, etc
Collaborate with design team to create signage materials for event day
Bachelor’s Degree required
A minimum of 7 years of experience in special events or a related field A demonstrated understanding of business development
Excellent communications and interpersonal skills; Ability to collaborate with and motivate and lead a team
Superior project and time management skills with the ability to multitask and rapidly change direction
Creative thinker and planner; Ability to work and think independently Proven organizational skills with exceptional attention to detail
Experience with developing and maintaining relationships and partnerships with high profile clients, donors or stakeholders
Expertise with Microsoft Office, Raiser Edge, Gesture, Dropbox
