As the RECORDS ADMINISTRATOR for the Child Care Assistance Program administered by the YWCA Metropolitan Chicago, you will be responsible for maintaining up-to-date, accurate records that support the documentation needs of the program that enables potential child care seekers and child care providers to determine their eligibility and guide them through the process to meet the State of Illinois requirements for subsidized child care or to become a licensed child care provider. The Records Administrator is an entry-level, fulltime, non-exempt position, reporting directly to the Coordinator of Client Support, located at the Patterson and McDaniel Family Center at 2055 W. Army Trail Rd in Addison, IL 60101.

Manages the record keeping process electronically for the Child Care Assistance Program (CCAP)
Files documents in correct locations for accessibility and ease of retrieval
Creates new files and purges outdated files and records in accordance with department guidelines
Provides responsive, timely customer service relating to all record-keeping needs of team members
Implements new filing systems as requested
Performs a variety of clerical duties including being backup for opening and processing mail, copying, faxing, filing, and data entry
Enters childcare provider payment certificates in an accurate, timely manner in compliance with contract parameters
Enters childcare providers’ W-9, background checks and IVR’s
Performs other duties as needed for special projects, tasks, etc.
High school diploma or GED
Strong customer service orientation via phone and in-person
General knowledge of standard office practices and procedures
Ability to work independently with a focus on efficiency and attention to detail
Intermediate level skill with MS Office suite and Outlook
