The Executive Assistant to the President & CEO and Executive Vice President is responsible for a wide-range of administrative functions requiring the highest levels of accountability and confidentiality. The Executive Assistant provides scheduling, logistical, administrative, and personal support in the Office of the President & CEO and Executive Vice President. This position represents the President & CEO & Executive Vice President in a discreet, professional manner at all times to staff, board members, elected leaders, the press, the general public, and others.
Manage the President and Executive Vice President’s calendars, including and not limited to schedule meetings
Draft emails and letters for President and Executive Vice President’s correspondence
Answer office of the President’s phone lines and record correspondence
Interact with elected officials, local and state-wide, in professional, prepared manner
Facilitate meetings and call requests on behalf of the President and Executive Vice President
Manage Association calendar, including tracking committee meetings and use of conference rooms
General clerical duties including, collection and distribution of President’s mail, filing, etc.
Arrange trip reservations and agendas for President and Executive Vice President
Responsible for upkeep of the current membership, standing, and status of the Board of Directors, Advisory Council, and Committees; including annual nominating process
Act as liaison with IRA Officers, Board of Directors, and Advisory Council
Coordinate and manage logistics of quarterly IRA Board of Directors meetings
Assist with correspondence and scheduling of events organized through Délice Network
Assist with correspondence and scheduling of events organized through James Beard Foundation
Assist in Chicago Gourmet as requested
Assist in all Special Events as requested
Assist IRA Educational Foundation as requested
Assist in organization and tracking of expenses for President & CEO and Executive Vice President
Coordinate monthly staff meetings
Facilitate internal communications as it relates to Executive Office
Assist with administrative duties office wide as needed
Other duties as requested including, but not limited to, coordinating lunch, scheduling personal appointments, select errands, etc.
Bachelor’s degree required
A minimum of 2 years of executive assistance experience for a senior level position
Proven success with use of Microsoft Office (Word, Excel, PowerPoint, etc.)
Excellent communication skills – both oral and written
Strong interpersonal skills
Ability to manage time efficiently, work independently, multi-task and perform well under pressure
Ability to effectively problem solve and positively collaborate with others
General knowledge of and/or interest in food service/hospitality industry & Association’s industry role as primary trade organization
Knowledge of local and state-wide governmental affairs preferred
Some overtime required
