Under the direction of the Director of Human Resources, the Benefits and HRIS Administrator is responsible for the coordination and day to day operations of employee benefits and maintenance of the HRIS systems. Position includes responsibility for benefits programs, records administration, wellness program, and communications of HR programs and policies. Assists in analyzing, modifying, and designing policies and benefit plans to ensure benefit programs are equitable and meet legislative requirements. All work to be completed with minimum supervision and in accordance with organizational standards.
ESSENTIAL DUTIES AND RESPONSIBILITIES include but are not limited to the following. The organization reserves the right to add to, delete, change or modify the essential duties and responsibilities at any time.
Benefits administration: Responsible for the administration and processing of employee benefits; new enrollments, benefit changes, and terminating employee benefits due to separation. Provide new and current employees with an explanation of benefits and instruct them on enrollment procedures. Ensures all benefit plan documents, summary plan descriptions, booklets and information brochures are accurate, compliant with government regulations, and current for dissemination for all benefits programs/policies, such as medical, dental, vision, life, disability, and 401(k) benefits.
Benefits administration: Work with the HR Director during the benefit renewal process. Responsible for communication of benefits programs to employees including the employee health fair, newsletter, management trainings and intranet communications.
Vendor and plan administration. Coordinate the transfer of data to external contacts for services, premiums and plan administration. Work effectively to make sure the plans run smoothly, investigate discrepancies and provide information in non-routine situations. Work with auditors by providing requested information. Manages the relationships with external administrators/vendors and troubleshoots system issues. Liaises with finance regarding accruals, leave of absences, system upgrades and vendor billing.
LOA Administration:Coordinates the support for all leave of absence cases and workersâ€™ compensation claims. Effectively coordinates all cases/claims to include general administration, comprehensive case management and program compliance with the Family and Medical Leave Act and all related employment laws. Interprets and administers leave programs and policies in accordance with the applicable federal and state employment laws (FMLA, ADA, USERRA, Pregnancy Discrimination Act, etc.). Manages STD/LTD programs and vendor relationships. Ensures that STD claims are coordinated with FMLA or general medical cases.
LOA Administration Approves and/or denies leave cases based on relevant medical information. Coordinates and organizes all medical information and ensures that HIPAA and Employee Privacy guidelines are closely monitored and effectively executed. Ensures that all reportable workersâ€™ compensation claims are submitted to the companyâ€™s vendor within 48 business hours from the date of the incident.
HRIS Administration/Reporting. Maintain data in the HRIS and benefits systems, including benefits tables, job grades, salary tables, etc. Create processes for all HRIS systems to interchange data. Proactively perform ongoing employee data audits in ADP. Contribute to the creation and monitoring of processes to assess the quality of Employee, Benefits and HR data. Works with HR team to maximize HRâ€™s technology capabilities to make processes more efficient and effective.
Data/Metrics: Completes reports as needed on Benefits and 401k utilization, and annual OSHA reporting. Collects, analyzes, and provides summary reporting necessary to develop dashboards for HR team to assist in monitoring and measuring HR activities and key initiatives. Leads projects and works with HR team members to procure data for creating and designing the presentation of HR metrics.
Employee Relations: Oversee the planning and execution of employee anniversary recognition, Benefits Fair and assist with other HR employee events.
Responds to employee concerns and questions by referring the employee to the appropriate resource including the employee manual for policies. In all interactions, is cognizant of maintaining the highest ethics and trust to ensure credibility of the position and Human Resources. Provides referrals to the EAP.
Federal and State Law Administration: Has current knowledge regarding federal and state employment laws as it relates to position and to insure compliance with work
Other Functions: The organization may assign other functions to the job at its discretion.
EDUCATION and/or EXPERIENCE:
Bachelorâ€™s degree and 3-5 yearsâ€™ experience in Human Resources and previous benefits administration experience is required. Excellent computer skills and advanced HRIS skills, using ADP, is required. Previous experience analyzing data and compiling reports is preferred.
