The Manager, Event Sales and Service position is responsible for profitably growing and administering the room rental and events management business of the Irish American Heritage Center. The Center houses over 10 rental rooms including a banquet hall and pub which are offered for weddings, anniversary or birthday parties, funeral lunches, concerts, community meetings and more. Will generate revenue growth and ensure service excellence through rental of rooms and management of rental and Center events. Reports to Executive Director; supervises Asst. Manager, temporary staff, volunteers and janitorial staff.
Sales and Marketing Activities
Markets the Center as a venue for specials events such as weddings, banquets, concerts, meetings, etc.
Proactively prospects for new rental business in standard and niche markets. Solicit new and repeat clients through multiple channels such as social media, outside calls and telemarketing.
Serves as liaison to and advocate for the Center with the community and corporate partners. Maintain active involvement in the surrounding community and in the weddings, meetings and venue space community. Attend various community and industry networking functions to promote the Center and generate sales leads. Attendance at events based on approval of Executive Director.
Identify and analyze competition, both locally and regionally. Keep updated on current sales trends within the market, i.e. pricing, space offerings and new venues.
Respond promptly to all inquiries, lead referrals and existing clients resulting in documentation of all communication within 24 hours.
Develops and maintains annual budget for rental operations including quarterly and annual event revenue targets.
Meet and exceed event revenue goals through events sales actions for meeting space and promoting other events.
Develops monthly, quarterly and annual sales plans and provides monthly sales activity reports to Executive Director.
Maintain all sales records and reports tracing history of customers and prospects and create mailing lists for future promotion.
Meet weekly with Executive Director and event staff to discuss upcoming events, progress toward revenue targets and develop new business strategy.
Room Rental and Event Activities
Works with customers and potential customers, both internal and external, to align the Center’s space, services and assets to meet the customer needs in a way that delights them and exceeds their expectations.
Provides tours of event space throughout the Center.
Prepares original proposals tailored to address the needs of and to impress the customer. Accepts deposits, invoices for balances due, and tracks payment and customer satisfaction surveys.
Create event orders in VenueBooks to detail the event, floor plans, audio/visual and staffing needs and other customer requirements in a timely fashion.
Works with outside caterers and vendors in order to meet the needs of customers and coordinates/maintains files for all certificates of insurance.
Maintains a list of preferred outside vendors (caterers, audio/visual, florists, transportation, etc.) to accommodate customer needs and provide recommendations. Negotiate discounts as appropriate.
Works closely with internal event managers and planning committees to define event goals, objectives, budgets and specific implementation plans that lead to a profitable result and a high-quality member experience. This includes all main Center events such as Irish Fest and St. Patrick’s Day as well as smaller events such as Salon Concerts, Teas and concerts.
Manages an efficient customer and staff friendly room rental process through VenueBooks.
Work closely with other event and janitorial staff as well as volunteers to effectively executive events including room-setup requirements, beverage packages and other ad hoc arrangements confirmed with customer.
Communicates with customers to finalize all room rental details in such a manner that the event is planned and coordinated to the customer’s satisfaction. Send customer survey within one week of event.
Meet and greet customers on event dates and supervise as needed to oversee successful execution of the event, including events and weekends.
Bachelor’s degree in hospitality management, marketing, public relations or business required.
Minimum of five to seven years’ experience in a hospitality setting with proven success in event management or sales.
Proven success in business development within the event management field.
Must be computer literate with the ability to use word processing, spreadsheet, and database software (Word, Excel, Access).
Must be organized and detail oriented.
Must have strong customer service orientation.
Must have strong team orientation.
Must have strong verbal communication skills
Ability to multi-task and work in a fast-paced environment.
Must have cross-collaboration skills and be able to partner effectively with multiple stakeholders to understand the scope of event deliverables.
Must have regular and predictable attendance.
Knowledge or interest in Irish culture.
Must be able to work a regular evening and weekend schedule as required.
