We are currently seeking a Development Services Specialist.
The Development Services Specialist is the front line staff member for CYC’s Development Services Department and is integral in the execution of the organization’s donor cultivation and stewardship processes. This position will be the key staff member entering and acknowledging donations, supporting database maintenance, and ensuring that information is entered timely and accurately. This position also will provide general support for the Development & Communications Department by researching donors, assisting with the annual appeal, supporting special events, and coordinating volunteer groups at Centers.
Essential Duties and Responsibilities
Key staff member responsible for entering and acknowledging gifts accurately and in a timely manner.
Supports the database management process by updating donor records, correcting gift records, tracking donors/solicitors, pulling reports, creating queries, and exporting/importing data.
Supports Development & Communications Department by researching current and prospective individual, corporate, and foundation donors and recording critical information in the donor database.
Supports Director of Development Services in audits of data entry and reconciliation of gift deposits with finance department at month and year-end, and as needed.
Collaborates with Development and Communications Department to support the annual appeal and any other direct mail campaigns.
Provides general support on all CYC special events and fundraisers, including the Annual Believe in Kids Dinner, Golf Outing, community events, and donor recognition events.
Tasks include preparing mailings, following up with sponsors, RSVP management, ordering/organizing supplies, creating event materials, working the event, assisting in volunteer management, acknowledging donors, and post-event support.
Manages event silent auctions with duties including solicitation and acquisition of compelling items that further CYC branding at events, organizing auction items into appealing packages, creating auction bid sheets and displays, acknowledging in-kind donors, managing the auction at the event, helping to ensure that revenue goals are met, and post-event analysis with recommendations on opportunities for growth and improvement.
Volunteer Program Support
Assists Director of Development Services in coordinating and staffing volunteer events at Centers.
Communicates with Center staff and volunteer groups about volunteer opportunities, assists in providing meaningful and compelling volunteer experiences, captures volunteer information on-site to support cultivation strategies, and acknowledges volunteer groups via email and thank you letters.
Bachelor’s degree or equivalent required
Three to five years of experience in development, non-profits, sales, or relevant field preferred
Demonstrated experience with data entry
Experience with Raiser’s Edge or other donor database(s) strongly preferred
Knowledgeable in the use of Word, Excel, and other office software and/or web-based applications.
Strong attention to detail, ability to work efficiently on diverse projects and complete them in a timely manner with limited supervision.
Experience in program, event or campaign analysis a plus.
Very strong customer service skills.
Ability to work well under pressure and handle several projects simultaneously.
Ability to deal with confidential information in a sensitive manner; confidentiality required.
Self-reliant, results oriented, and strong interpersonal skills with the ability to engage and collaborate and develop consensus with staff and colleagues.
Ability to occasionally attend meetings and events at CYC Centers and other off-site venues, which may require light lifting, etc.
Availability to occasionally provide assistance for evening and weekend CYC functions.
