Job Summary: This position serves as the first point of contact for people contacting the agency. The position is responsible for providing administrative support to the agency’s staff and clients. Responsibilities include answering agency’s main phone line, greeting clients, and conducting various administrative tasks. This position is located at our main office in the Ravenswood neighborhood. Typical work hours are Monday-Friday, 8:30am-4:30pm. Hourly Rate: $15.00.
Provide high quality customer service as the first point of contact for people contacting the agency
Perform general office management duties
Answer agency phone and assists callers by providing program information, directing them to the appropriate staff, and taking messages
Monitor front door and report any safety concerns
Greet and receive visitors and ensure they are referred to appropriate personnel
Provide overview of services to walk-ins seeking information
Coordinate and/or perform various agency clerical functions. Including, but not limited to, sorting and distributing mail, ordering and organizing office supplies, data entry, filing, and writing and distributing email correspondence
Assist with developing a system for purchasing supplies in a timely manner and maintains an accurate and current inventory of supplies and equipment
Maintain clean and organized reception area and office space
Monitor office equipment and arranges for services as needed
Prepare materials for public distribution upon request of staff
Update and maintain employee phone tree and contact lists for sites and employees
Responsible for ongoing facility management at the office, including the coordination of repairs, equipment maintenance and correspondence with contracted vendors
Responsible for ongoing technical assistance and coordinating services (toner, servicing, paper supplies, etc.) involving machines or computers
Assist with in-kind donation tracking and entering info into Neon as needed
Participates in health & safety activities, coordinating drills, internal and external inspections and other safety responsibilities.

Bachelor’s Degree in Business or Related Field preferred, High School Diploma required
At least 2-3 years’ experience in administrative work/work as an Administrative Assistant
Demonstrated proficiency with Microsoft Office, particularly with PowerPoint, Outlook, and Excel
Experience working with the homeless population preferred
Spanish language proficiency a plus
Ability to manage multiple responsibilities, projects, and deadlines concurrently
Ability to work in an interdisciplinary team approach model, taking individual responsibility and autonomy while also working well in roles leading and serving as part of a team
Excellent interpersonal communication and organization skills

Our mission is to end homelessness in the lives of individuals by providing housing and comprehensive supportive services. We also strive to eradicate the conditions that cause, contribute to and exacerbate homelessness.
In 1983, members of three congregations along with other Lakeview citizens concerned about the issue of homelessness in the Lakeview community started an overnight, emergency shelter located in the lower levels of the Lake View Lutheran Church and Wellington Ave. United Church. The two sites provided a temporary “home” to hundreds of men and women over the years. Later, the agency began to serve only men in the Lakeview Lutheran Church site as a result of cuts in the initial funding.Today, North Side Housing and Supportive Services (NSHSS) is a comprehensive human services agency focusing on ending and preventing homelessness. Because homelessness is a complex issue, NSHSS provides an array of services to our consumers to help our consumers address a wide range of difficult issues and achieve self-sufficiency.
