Department Function: The Administration department is charged with strategic planning activities, general administration, human resource administration, accounting and financial reporting, cash management, information technology and other functions necessary for the proper maintenance growth and development of the organization.
Basic Job Function:
Under the guidance of the Controller, the Payroll Clerk is responsible for processing and managing payroll and preparing payroll related reports.
DUTIES AND RESPONSIBILITIES:
Prepare and review timecard data and Supplemental Earnings in ADP.
Develop payroll previews for Approval before processing.
Process Payroll in ADP
Maintain records of employee attendance, earned and expired PTO and sick time.
Process 401K, 457B, CTPF contributions
Distribute payroll checks and vouchers to employees and/or supervisors.
Prepare payroll summary reports which includes earning, deductions, tax withholding
Review year end payroll reconciliation for processing of W2 forms.
Troubleshoot Payroll issues with ADP and Agency HR
Review 941 reports and reconciliation the information
Import Payroll General Ledger into the accounting system and reconcile payroll accounts
Assist the Grants Department with certain quarterly reports, .
Prepare supporting schedules for audits
Prepare various Payroll reports as needed
Keep payroll information confidential always
Order and Distribute CTA/Ventra Passes for Client Assistance to program administrators.
Support with purchase of supplies and other administrative duties
Perform other duties as assigned by the Controller
Bachelor/Associate degree in Accounting or related fields;
Familiarity with Payroll regulations and processes
Experience with ADP
3-5 years of Payroll experience
Computerized accounting experience with payroll preferred.
Experience with Accounting Software (Abila MIP and NetSuite) Preferred
Familiar with Web Resources
Microsoft Office- Excel, PowerPoint, and Word Fluency
Internet Resource Ease and Facility
Strong Problem Solving and Analytical skills.
Ability to communicate effectively with staff and funders
Collaborate easily with co-workers and work well independently
