The National Walk Coordinator supports the successful execution of nationwide walk series for a Chicago-area, health-focused not for profit organization. The series is a critical and major source of the organization’s income, from fundraising walkers, teams and local and national sponsors and in-kind donors, and provides for direct contact with our patient and family community and supporters. The National Walk Coordinator achieves the organization’s goals through essential functions including:
Implementing and enhancing the walk series’ operational and financial plans
Achieving income targets and annual growth of the series’ gross and net income;
With the series’ external event production vendor, supporting series- and event-specific logistics planning and coordination
Recruitment, formation, support and retention of local walk committees and event volunteers;
Collaboration with national office Marketing personnel to execute awareness efforts;
Collaboration with national office Finance personnel to manage series finances and prepare financial and performance reports and analyses; and
Collaborating with national staff and volunteers, hospital partners and other affiliates
Key areas of responsibility include:
Series/Site Development, Management and Reporting
Participates in and supports strategic planning for the series including market/site selection, scheduling, budgeting, participation and revenue targets; event logistics; marketing and communications strategies; and committee and volunteer recruitment and management
Supports growth of the series by growing existing and future sites
Develops, implements, meets and manages all series timelines and benchmarks
Manages and oversees site and series budgets, and provides continuous forecasting
Ensures events and series operate within budgets and guidelines
Supports financial processes including approval of site expenses, reimbursement and expense requests, sponsorship invoice requests, day of walk registration and donations
Organizes annual evaluation processes for all sites and the series
Prepares and presents formal reports and analyses including financials and associated metrics, event preparedness and more, as requested by national office and in regular meetings
Walk Committees and Event Day Volunteers
Builds, manages and supports high-performing walk committees for each site to meet site goals:
Recruits returning and new members via clearly defined roles, descriptions and expectations. Provides clear and concise objectives, expectations and job descriptions
Continuously recruits new members to meet and exceed goals. Tracks and documents all volunteer leads and inquiries for follow-up
Develops and manages a walk site leader retention and transition strategy plan
Plans and leads regular committee meetings; ensures prompt distribution of minutes
Supports walk leaders in hosting kick-off events, third-party fundraisers and team builders
Develops effective working relationships with committees to achieve event goals
Provides tools for committee success, monitors activity and progress, addresses deficiencies
Develops, maintains and communicates volunteer guides, procedures, forms, etc.
Distributes regular email updates to all volunteer participants beginning immediately after site kick-off and continuing through event day and post-event tasks
Via the committee, ensures sufficient recruitment of event-day volunteers
Ensures volunteers are provided with clear roles, objectives and expectations
Administers post-walk surveys to walk committee members for feedback and analysis
Walk Event-Specific Leadership and Management
Supports external production vendor in event launch for each site (logistics, permits and permissions, insurance, supplies, etc.)
Supports uniform operational execution, including day-of event program agenda and documented, published plans.
Travels for execution of the event; additional site travel as necessary and approved to support planning, meeting with key volunteers, sponsors, team captains and top fundraisers
Manages fundraising software, ensuring accuracy and generating reporting for national office and site leaders.
Leads status meetings, provides and shares notes/records/plans as requested, provides timely (24-hour) responses on all inquiries from national office, committees, volunteers and others
Maintains accurate, organized filing system and records readily available for staff access
Ensures high-quality and professional correspondence in all communications.
In coordination with production vendor, ensures delivery of essential site supplies and materials
Walker and Team Recruitment and Retention
Creates and implements strategies for walker and team recruitment, retention, participation and revenue performance, including families, patients, corporate and partner teams
Plans, organizes and continually evaluates various programs/events to improve performance:
Works with committees to cultivate team captains and individual walkers, providing fundraising tools, guides, support and communication to help and secure maximum income from each individual and team. Implement new ideas for growth including series-wide fundraising incentive program, contests, etc.
Grows new and existing walk teams
Via committees, Peer 2 Peer software, calls and emails, maintains on-going communication with individuals and teams to provide support, encourage fundraising and acknowledge successes, including pre-walk progress reports to team captains and teams and post-event thank you letters and participant surveys
Cash Sponsors and In-Kind Donations
Supports national staff to appeal to and secure national sponsorships.
Conducts prospect presentations in coordination with national office team.
Creates and manages local and regional sponsorships by working closely with walk committees
Develops and lead strategies and tools to recruit, acknowledge and retain sponsors, utilizing and enhancing sponsorship packages, documenting all activity
Leads committee in creating prospect lists to meet goals; grows committee as needed.
Supports committee leaders in soliciting & securing local in-kind and cash sponsorships.
With committee, determines series and site needs for goods (e.g., food, beverages, supplies) and services and solicits donations/volunteers from national sponsors and local donors
With national office staff, arranges for and ensures fulfillment of sponsor benefits
Maintains positive relationships with all sponsors, in-kind donors and partners
Marketing and Communications
With peer to peer software vendor, creates, maintains and manages online series and site fundraising websites.
With national office Marketing, arranges for production and delivery of print and digital marketing materials (including posters/flyers/postcards, sponsorship materials and video tools), and ensures delivery to targeted audiences, direct to market or via committees.
Coordinates all e-mail marketing activity to walkers, teams, sponsors, partners, donors, committees and national staff, including national- and site-specific e-mail blasts.
With Marketing team, supports local and national advertising (paid and unpaid), promotional, publicity and public relations strategies, efforts and materials
Updates, maintains, distributes PR materials for marketing sub-committee use
Orders series t-shirts and fundraising incentives to meet series needs
Escalates challenges and issues to national office staff as necessary.
Actively promote organizational mission, services, programs and events in the community.
Maintains a professional demeanor at all times, with excellent interpersonal skills in dealing with staff, committees, volunteers, walkers, sponsors, donors, public officials, vendors and others.

Minimum of 3 years’ experience in volunteer development and management, event management and fundraising and 1-2 years’ experience in walks/runs, with documented success
Strong computer skills including experience with Peer 2 Peer database software
The position requires the ability to work nights as needed for walk site committee planning virtual meetings, and to travel frequently including weekends, with comp time available
Ability to confidentially handle information and monies
The job may require light lifting (e.g., up to 25 pounds)
Bachelor's Degree required
Full-time or contract, 40 hours per week, based in the organization’s suburban Chicago offices.
Salary is competitive, commensurate with experience. Base salary and performance bonuses.
