Department Function: The Administration department is charged with strategic planning activities, general administration, human resource administration, accounting and financial reporting, cash management, information technology and other functions necessary for the proper maintenance growth and development of the organization.
Basic Job Function:
Under the guidance of the Controller, the Staff Accountant is responsible for the day to day accounting and financial reporting of Asian Human Services including all internal and external reports required of the organization. This includes month-end closing tasks, balance sheet reconciliation, year-end audit preparation, financial analysis and other job-related duties as assigned. This also includes preparation of journal entries, balance sheet reconciliations, general ledger account analyses.
DUTIES AND RESPONSIBILITIES:
Monitor and Maintain general ledger and manage month-end close
Prepare and maintain general ledger analysis and balance sheet reconciliation
Record Journal entries, analyze and ensure costs are accurately charged to programs as per approved budget
Establish and monitor budgets for programs and prepare periodic funder reports
Assists in the preparation of periodic financial statements, contract operating statements and other financial documents and analyses
Submit Monthly Vouchers and Reimbursements Requests for grants and contracts
Support program managers and directors with budget to actual analysis
Prepare and review budgets for grants and contracts and assist in agency wide budget preparation
Properly apply cash payments from funder and reconcile bank accounts
Work with agency staff and government auditors to verify contract balances, contract amendments, and other documentation. Prepare spreadsheets and reports as needed for auditors.
Prepare and update reports for grants as required.
Maintains accurate and current summary of all grants and contracts (electronic and paper).
Submit/e-file government contract budget revisions, requests for extensions, and amendments, closeout functions assuring that all required certifications, signatures and notaries are in place.
Review and post all billings to the Accounts Receivable system.
Reconcile billings to general ledger (prepares reconciling journal entries), completes required government reports relating to revenues and expenditures.
Perform other accounting, financial, or administrative tasks as may be required from time to time
Education and/or Experience: Bachelor’s degree in Accounting and 2-4 years of accounting and financial reporting experience is required. Credit toward years of experience may be given if higher degree obtained. Non-Profit accounting is preferred.
Physical Requirements and Working Environment:
Understanding of Generally Accepted Accounting Principles (GAAP) Non-Profit & Governmental Accounting Standards.
Experience with Accounting Software (NetSuite) Preferred
Microsoft Office- Excel, PowerPoint, and Word Fluency
Internet Resource Ease and Facility
Strong Problem Solving and Analytical skills.
Ability to communicate effectively with staff and funders
Collaborate easily with co-workers and work well independently
