The Annual Fund Campaign Manager reports to Ravinia's Senior Associate Director of Development, Programs and Operations, and is on the front lines for Ravinia’s entire fundraising program. This position is primarily responsible for planning and implementing strategies and programs to generate individual giving that meets the revenue goals of the Ravinia Festival. This includes “in the room” stewardship, cultivation and solicitation of current and new contributors through a variety of fundraising programs and strategies. Employee is a critical part of a team that continues to enhance our technology processes, bringing an easier and more efficient ticketing and reservation requesting and fulfillment process to our donors, and is primarily responsible for maintaining the integrity of our Raiser’s Edge donor database and pulling clean lists for all appeals/program book listings/etc. The position is also a member of Ravinia’s Donor Concierge Services team, providing VIP stewardship to the festival’s Opus ($4,000) and Guarantor ($7,000) donors during the summer season.
Duties and Responsibilities
Annual Fund Campaign
Manage brochure/packet creation and donor segmentation (list exports/cleanup) for direct mail appeals; manage vendors responsible for mailing strategy, design, print production and fulfillment. Candidate must have extensive experience creating queries and exports and importing data in Raiser’s Edge.
Work closely with Manager of Interactive Communications to keep all online Development verbiage up to date, especially notating policy changes and updates clearly and concisely.
Manage donor activities, stewardship, cultivation and communication for donor retention and increased giving.
Manage Donor Ticket Request (DTR) form mailing and online communication; ensure pre-season priority ticketing by working closely with Box Office, IT and Communications departments.
Work closely with the Box Office and IT to ensure Ravinia’s three technology platforms are working in concert to enable flawless execution of the online donor ticket requesting process.
Manage the design and distribution of Annual Fund benefits, including contributor benefits portfolio, season gate passes, priority parking passes, early entry cards, etc.
Organize, staff and execute Chicago Symphony Orchestra open rehearsals.
Field inquiries from prospective donors; steward, cultivate and solicit current and new donors.
Work closely with Donor Services Manager (Opus and Guarantor) and Major Gifts staff (President’s Circle and above) to provide support to upper level donors.
Work closely with Donor Records Manager and IT to maintain integrity of the donor database.
Coordinate miscellaneous mailings and emails, including donor holiday cards, DTR address alert, priority parking alerts and other concert information, etc.
Manage most donor communications throughout the year.
Assist with special projects and other duties as assigned.
Annual Fund Committee
Act as Ravinia’s primary liaison to the Annual Fund Committee, a group of volunteers who solicit contributions on behalf of the Festival.
Manage committee members’ prospect lists and prepare personal their solicitation packets.
Issue frequent status reports and email notifications to committee members on their solicitation activity; encourage members to acknowledge gifts personally.
Help identify new donor prospects by reviewing box office ticket lists and a variety of other sources.
Education and Experience
Bachelor’s degree required in related field
2-3 years progressively responsible experience working on direct mail segmentation, production, and cost benefit analysis
Raiser’s Edge experience required. Must have experience creating queries and exports and importing data.
Marketing experience preferred
Excellent communication skills, both verbal and written
Demonstrated experience and skill in working with donors
Ability to manage multiple tasks simultaneously
Strong ability to work with other team members and departments
Experience working with volunteer groups a plus
Knowledge and Skills Required:
IT skills, including high-level database and Excel spreadsheet management
Demonstrated excellent customer service skills
Able to function at a high level under continuous deadline pressure
Knowledge of non-profit fundraising management, strategies, operations and procedures required
Knowledge of donor event planning preferred
Demonstrated ability to interact well with a wide variety of people and departments, handle multiple tasks simultaneously, and work well in a team environment
Able to problem-solve quickly and effectively in high-pressure situations

Ravinia employs about 50 full-time staff year round, but that number explodes tenfold as summer arrives and seasonal jobs go to ushers, waiters, phone center operators and others who help the show to go on.
Ravinia runs the Ravinia Steans Music Institute on its grounds. This summer music conservatory awards 60-70 fully paid fellowships each year to the most talented young professional musicians from around the world to work with an esteemed faculty and the headliners who frequent the festival.
