The Administrative Grant Coordinator is a nonexempt part time 10-hour a week employee of NAMI Metro-Suburban. The position is located in Oak Park.
Position Purpose: Coordinates and implements grant systems and processes to aid in timely submission of reporting requirements for existing grants; develops tools to assist the Director of Recovery Services and Executive Director in evaluating NAMI’s programs.
ESSENTIAL DUTIES AND RESPONSIBILITIES

Ensures Submissions of Reporting Meet the Appropriate Deadlines and Expectations of Grantors:
Develops and maintains an internal grant tracking and monitoring system for statistical and financial reporting of NAMI’s Drop-in Center, Education Programs, and Support Groups.
Submits reliable statistical and financial reporting to grantors. Transfers data from program and activity reports provided by NAMI Metro Suburban program leads into grantor’s databases.
Creates monthly, quarterly and annual reports for directors based on contractual grant requirements and audits.
Develops and reports on program evaluations to Executive Director and Board
Aids program staff in communicating program needs with directors in order to meet Grantor expectations.
Fosters relationships with funders: finds personal connections and works well with grantor’s staff; attends grantor’s trainings.
Complies statistics for new grant submissions.
Ensures Administrative Support is Coordinated, and Administrative Needs of Each Program are Equally Distributed Across Programs:
Assist with the technical set-up for current and new employees including computers, telephones and printing services.
Act as the liaison with software, printing and phone services companies
Perform other duties as assigned by the Executive Director.
EDUCATION / EXPERIENCE / SKILLS
Excellent computer skills required: Word, Excel, Access or other database software
Excellent verbal and written communication skills
Ability to work independently and very well organized
Strong administration skills and understanding of the non-profit sector
Skilled in interpersonal relations, agency administration and social service programs
Ability to work well with a variety of people with a wide range of skills
Understanding of mental health issues
Reports to the Executive Director.
Represents the values and practices of NAMI as delineated most notably by our affiliate.
Adheres to all agency policies and procedures.
Monitors program for compliance with NAMI standards and grant agreements.
Is fully knowledgeable of the responsibilities of this position and performs these in an efficient and effective manner.
Supports NAMI Metro Suburban’s mission, vision and strategic directions and administrative decisions.
Required to respect the confidentially of information about participants of NAMI Metro Suburban programs, staff and community partners.
