Private school serving the suburban North Shore area seeks an experienced Office Administrator for a full time (12 month) position. Applicants must have a Bachelor’s Degree, 3 years of relevant experience, proficient computer skills including Excel and Microsoft Office, professional etiquette, and a friendly demeanor. Responsibilities and Duties for this key role include:
Provide administrative support to the Head of School, Admissions Director, Business Manager and other staff members in daily tasks and special projects.
Create, manage and update student and alumni records and database.
Manage and update school calendar.
Manage and organize electronic and hard files.
Manage, organize and generate classroom rosters, directories, calendars, schedules and various reports.
Oversee the school’s phone system and other office equipment.
Systematize the flow of school mailings, correspondence and flyers to ensure timely completion.
Maintain general organization of the office: mail, office supplies, shipping, while keeping a neat and organized office environment.
Coordinate communications between parents, administration and other staff members.
Ensure all staff members have needed support and resources in order to perform their jobs successfully.
Assist with school events.
Perform other duties as assigned.
Experience providing complex, administrative support with tact and diplomacy.
Proficient computer skills including Excel and Microsoft Office, and Google Cloud Platform. FileMaker Pro or other database familiarity is a plus.
Excellent writing and editing, accurate typing and proofreading skills.
Exceptional attention to detail and accuracy.
Proven problem solving and interpersonal skills.
Sensitivity, good judgement and confidentiality in working with other staff and parents.
Ability to prioritize responsibilities and meet required deadlines.
Must be self-motivated with the ability to work autonomously and with colleagues.
