DVLC's Intake Specialist and Office Administrator will assist with intake administration for the various practice areas located within the Extended Services Division. They will additionally assist in managing the general functions of our State Street office.
Program Operations (approximately 70% of the position):
Administer initial intake and conflicts check of all clients applying for services in the Extended Services Division by registering all applicants, including requisite data entry, in electronic case management system.
Assist with brief client call backs and scheduling follow-up appointments
Conduct phone / in-person interviews where necessary to determine eligibility for services, identify basic case facts, and identify basic legal problems.
Communicate clearly with individuals seeking services regarding the case acceptance process and guidelines.
Provide guidance to individuals on next steps, resources, and referrals if case is rejected.
Distribute completed intakes to legal teams during weekly case meetings.
Participate in and provide information and insight on intakes in weekly case meetings.
Respond to general call/walk-in and email inquiries in a timely and professional manner. Make referrals in these situations to appropriate services when not available internally from agency.
Enter monthly case data in government tracking systems (i.e. Infonet).
Administrative (approximately 30% of the position):
Manage main phone line & voicemail of office at 17 N State, providing basic information, directing callers appropriately and taking accurate messages when necessary.
Manage office incoming/outgoing mail: distribute, scan, and track in case management system where appropriate.
Manage the office filing process.
Translate/interpret for clients and attorneys during intake/court process.
With Director of Operations, manage supply levels for office and equipment.
General clerical and administrative tasks as assigned.
Actively participate in required staff meetings, trainings.
Protect the organization by keeping information confidential.
Perform other duties as assigned by supervisor.
Court house and offices are fully accessible. Some work at off-site locations may be required and those may not necessarily be fully accessible.
Evening and weekend work may occasionally be required.
This role routinely uses standard office equipment such as computers, phones, and scanners. Employee is regularly required to talk, hear, see, and communicate effectively via computer.
The employee must frequently lift and/or move objects up to 25 pounds and occasionally lift and/or move objects up to 40 pounds.

High school diploma required; two years of general office experience required
Client interviewing or intake experience preferred
Bi-lingual in Spanish/English required
Attention to detail
Proficient in Microsoft Word and Excel
Excellent organization skills

Must have completed or be willing to complete 40 hour Domestic Violence training
Demonstrated ability to work with diverse populations
Knowledge of or experience with working with survivors of gender-based or intimate partner violence
