We are currently seeking an Administrative Aide to support the mission of our Abe & Ida Cooper Center. The Administrative Aide provides critical support to clients, community partners, and our employees as they execute our mission by greeting clients and visitors, verifying medical insurances, collecting co-payments, updating patients’ demographics, answering phone calls, managing a high level of incoming clients and visitors, and supporting the administrative needs of Agency employees.

What will you do?
Greet clients and visitors in a respectful, pleasant manner.
Answer phones, re-directing calls as needed, while maintaining client confidentiality.
Engage with key agency stakeholders in a professional manner.
Follow front desk safety guidelines and procedures.
Verify, via computer or phone, document, and communicate clients’ medical insurance coverage information (Commercial, Medicare and/or Medicare).
Process client payments, issuing receipts, balancing daily/weekly payment reports.
Provide direct and indirect billing support to the Accounting department.
Prepare weekly deposits and accounting reports
Establish and maintain electronic and hard copy program and client files including data entry into agency databases according to quality control standards.
Create and/or prepares spreadsheets, forms, reports, letters, documents, and presentations as requested.
Monitor program compliance, service and/or agency schedules referring problems to supervisor or other departments.
Work in conjunction with supervisor and Program Director to plan tasks to meet scheduled deadlines.
Assists with monitoring and maintaining office supply inventory.
Shop for supplies for Therapeutic Nursery School Program as needed.
Serve lunch to Therapeutic Nursery School Program as needed.
Complete Food Handler Training Certificate.
High School diploma or equivalent.
Two years or more years of experience in a front office environment.
One or more years of customer service experience. Medical office experience preferred.
Able to work evenings up to three nights per week.
