Cristo Rey Jesuit High School seeks an Advancement Associate to join the Advancement Team. Reporting to the Vice President for Advancement, this position is responsible for supporting the President with stewarding the Board of Directors, as well as other important relationships that benefit and grow advancement efforts for Cristo Rey. The Associate will provide broad support to the larger Advancement program through collaborative work around gift processing and the acknowledgment process, scholarship funding growth and donor relations, alumni outreach and engagement, and a variety of event responsibilities.
Primary Duties and Responsibilities
Coordinates Board of Directors meetings, correspondence, web portal, tracking, hospitality, and other materials. Calendars and organizes meetings with agendas, minutes and materials shared in a timely and organized manner.
Manages Board of Directors meeting minutes, motions, individual files, and correspondence.
Create, update, and maintain dashboards for tracking board member engagement, recruitment, and retention.
Provides administrative support to the President, anticipating the needs for special visits, team meetings, donor correspondence, and hospitality.
Support the President with managing his/her donor portfolio and take initiative to accelerate correspondence and calendaring meetings.
Plan and organize meetings as necessary; organize and create agendas for meetings; determine timing and venue, and work with President or VP for Advancement to ensure relevant materials are in hand.
Prepare President and Leadership Team for internal and external meetings as necessary, providing information like meeting time, updates, venue, hospitality, etc.
On behalf of the President, manages the oversight of some events for staff and faculty.
Help to organize the President with his/her calendar of meetings to ensure awareness and preparedness.
Works closely with the Vice President of Advancement on special projects and fundraising campaigns.
Scholarship Support: Support and partner with the Director of Corporate and Foundation Relations (DCFR) to administer and steward scholarship programs and supporters:
Build relationships with school staff, the business office, and counseling department to identify students for scholarships.
Facilitate student scholarship applications.
Coordinate donor visits and scholar trips.
Gather scholar data to create meaningful reports and correspondence.
Work with the Business Office to integrate outside scholarships into family financial assistance.
Work closely with the DCFR on applications, data gathering, reporting, promotion, and donor stewardship for the Illinois Tax Credit Scholarship Program.
Support the Advancement Office with gift data entry and timely and thoughtful acknowledgments.
Assist with donor recognition events as necessary.
Participate in all Advancement events. Specifically, manages event volunteer recruitment, training, and stewardship. Some organization of events including budgeting, securing vendors, and follow up included.
Tackle other duties and projects as assigned by the VP for Advancement or President.
Highly responsible and organized, the candidate will have a proven record of accomplishment of meeting deadlines, managing and prioritizing multiple tasks effectively with others.
Self-starter who works as a team member and builds relationships across CRJHS.
Confident with Microsoft Office programs, and database management, particularly in Raiser’s Edge.
Solid organizational skills, and problem-solving and research skills.
Experience with event coordination and volunteer management.
Excellent communication skills – written and oral – with the ability to effectively communicate with a wide range of individuals and constituencies in a diverse community.
Some Spanish preferred.
Bachelors degree with relevant experience in board relations, and interest in a career in development and relationship building.
