The Center for Life and Learning (CLL) is a program of Fourth Presbyterian Church. The Center welcomes men and women 60 years and over who seek a place to explore new interests, pursue well-being, and continue to shape their lives and communities. The Center provides an annual curriculum of adult education, health and wellness support, arts, travel, and companionship.
The Program Coordinator plans frequent outings, luncheons, and other special events and trips, along with providing administrative support for daily CLL operations. This position takes a lead role in tracking membership activities and acclimating new members to the CLL. The Program Coordinator provides a welcoming presence for CLL members and visitors, offering compassionate attention and hospitality at all times.
Duties include, but are not limited to, the following:
Provide customer service to members regarding questions concerning teachers, class schedules, class changes, relocation, holidays, luncheons, and related church events
Register all program attendees and maintain member directory
Provide information and encouragement for new and prospective members; work with Director on strategies to assimilate new members
Create and establish membership practices to foster community among members
Update CLL membership forms and new member orientation packet as needed
Oversee and coordinate member committees
Teacher and Classroom Support
Act as Staff Liaison to CLL Member-Run Programs
Send event reminders to registrants
Assign and train annual classroom hosts
Assist with mid-year course evaluations and special topic evaluations
Bookkeeping and Finance
Receive and record payments from members for dues and events
Prepare weekly deposit report
Complete contracts and deposits for outings; prepare income and expense report for celebrations and trips
Plan and escort a monthly outing according to member interests
Plan and oversee scheduling, menu, decorations, volunteers and hospitality for monthly luncheons
Plan reception at annual fundraiser
Plan additional annual events i.e.: New Member Tea, Member Memorial, Intergenerational event, etc.
Communications and Marketing
Prepare and deliver copy to Director promoting upcoming events for CLL newsletter, emails, and other communications as requested, including quarterly monthly member highlight
Design bulletin board display to promote upcoming events
Send welcome letters to new Fourth Church members
Meet with Director regularly; attend staff and administrative meetings as required
Other duties as assigned
Full time, Monday through Friday 9 to 5 at most times. The position is 32 hours/week through December 2019, will be expanding to 40 hours/week in January 2020.
4 year degree required, preferably in the field of Humanities, Social Services, Gerontology or Healthcare
Previous experience and ability to work with older adults: display patience, understanding, and a sense of humor
Previous experience in marketing, event planning, and administration
Commitment to creating a sense of community among members, faculty, and staff
Creativity in planning and executing events of interest to members, ability to responsibly escort group outings
Ability to prioritize tasks, manage frequent interruptions, and meet deadlines
Excellent organizational and bookkeeping skills
Proven initiative and problem-solving skills
Outstanding oral, written, and interpersonal communication skills
Strong computer skills including proficiency in Word, Excel, and a Windows environment; ability to learn new software, including databases
Proven ability to work collaboratively and independently
Experience and comfort working in complex, multi-layered organizations
Comfortable working in a faith-based environment
