The receptionist holds a key position within the organization. This individual has regular and frequent communication with Little Brothers members, including our elderly, volunteers, donors, staff members, and all others contacting the organization. The receptionist is responsible for providing front desk and administrative support to ensure optimal customer service and contributes to the overall efficiency and effective operation of Little Brothers - Friends of the Elderly, Chicago.
Duties and Responsibilities:
Open switchboard on time. The Receptionist is required to begin work at 8:45 am and work until 5:00 pm.
Handle all incoming calls courteously, professionally and promptly. Calm, and/or defuse irate callers by working with them to identify and properly address concerns.
Admit and Greet visitors in a warm, pleasant, and prompt manner, and direct them to the appropriate personnel.
Maintain staff and guest sign-in/sign-out sheets.
Sort and distribute incoming mail, and process outgoing mail.
Accept and sign for delivery of packages and call for assistance as needed with the deliveries.
Work with Finance Department to maintain vehicle sign-out, maintenance log, and annual vehicle registration.
Accept in-kind donations, issue receipts, and inform appropriate staff members of donation arrival and location.
Regularly access and update the databases.
Maintain staff directory and lists, and information posted at reception.
Provide basic word processing and data entry support.
Assist with routine administrative and special projects, as time permits.
Maintain knowledge of current LBFE programs and procedures in order to assist callers and visitors.
Keep reception area, lobby, and mailroom/coatroom neat, attractive, and welcoming for guests.
Assist volunteers with food bag, birthday bag, and homebound visit bag pick-up.
Assist with elder check-in and ordering cabs, as needed.
Occasionally cover for Saturday Receptionist.

1+ years of prior reception experience required.
High school diploma or equivalent.
A calm, professional manner and pleasant telephone voice.
Ability to maintain confidentiality.
Strong customer service and creative problem solving experience.
Ability to interact successfully with both internal and external constituents at all levels.
Ability to multi-task, prioritize and be flexible with changing needs in a team environment.
Clear handwriting and accuracy in recording messages.
Proficient in Microsoft Office; Outlook, Word, Excel, PowerPoint, and online searches preferred.
