Provide effective and efficient support to the Program Manager to ensure smooth service delivery. This includes administrative, logistical and information management assistance to the Program Manager and other team members, as well as planning and coordination of team activities (meetings, workshops, budgets).
Duties and Responsibilities:
Ensure that Workforce Development customers receive the most efficient and professional assistance, support and guidance.
Assist with entering purchase orders, requisitions and other program-specific accounting functions.
Greet clients entering the organization and begin centralized intake process in Salesforce for new program enrollees.
Coordinates the translation, proofreading and editing of documents as required
Assist DHS Program Manager with quarterly site monitoring and other requirements for continued DHS funding.
Verify new employment information, obtain paystubs, and wage history from employer and/or customer, and report both new and updated information to DHS.
Assists in the orientation of new staff, interns and volunteers by providing them with the necessary documents and materials for orientation.
Prepares training kits or information packages and sends material to clients in a timely manner
Provide general administrative and clerical support including typing, printing, copying and scanning.
Conduct and grade TABE exams and other assessments.
Prepare program-related documents and reports as defined by Program Director, Program Manager and/or DHS.
Ensure that DHS client work experience hours are collected weekly – drive correspondence with employers to ensure AHS has required documentation.
Assist program staff in contacting unsubsidized employers to verify employments and obtain wage history for customers in retention.
Assist program staff in issuing support services such as transportation and uniform reimbursement for active participants.
Assist in organizing meetings and take detailed minutes.
Qualifications (Knowledge, Skills & Abilities):
Associates Degree or equivalent college coursework from an accredited university.
Keyboarding speed of at least 60 WPM.
Intermediate MS Excel skills including the use of pivot tables – or – experience using CRM software (i.e. Salesforce, MailChimp, Constant Contact) to help drive client engagement and measure program outcomes
Ability to work 9am-5pm Monday through Friday in an office environment.
Knowledge of administrative and clerical procedures.
Belief in the mission of Asian Human Services.
Experience working with low-income adults.
Excellent customer service and multi-tasking skills.
Bilingual language skills.
Knowledge of organizing, planning and managing information
