Opportunities for All (OfA) is searching for a Staff and Grants Accountant to join our growing, education-focused organization. OfA is headquartered in the Pilsen neighborhood of Chicago and serves students, teachers, and families across 38 schools across the Chicagoland area. OfA’s mission is to work with at-risk communities to provide innovative and transformational educational, cultural, and community empowerment experiences with the goal of developing forward thinking and informed students, parents, and school leaders. OfA accomplishes this via Student Out-of-School Time Programming, Teacher Professional Development, and Parent and Family Academic, Arts, and Empowerment Workshops across 7 school districts.
The Staff and Grants Accountant is a newly created role within OfA and will be responsible for managing the financial functions of the organization, which are composed primarily of government grants including budgets, compliance, billing, financial reporting, and end of year reporting and closeouts. This includes close coordination with OfA’s senior leadership and program managers to implement and track grant and non-grant budgets and ongoing expenditures. The Staff and Grants Accountant also supports the annual budgeting process. This position can be either be contractual, part time (20-30 hours/week) or full-time and reports directly to the organization’s Business Manager and Executive Director.
This position requires an individual with strong financial analysis, organizational, collaboration and problem-solving skills.
Maintain accuracy of monthly accounting of contracts, grants and professional services agreements, including general ledger maintenance and preparation of financial reports.
Prepare monthly revenue, expense, receivables and payables workpapers, and any related adjusting entries for assigned cost centers. Enter and verify monthly general ledger entries, including payroll allocations and vendor invoices.
Oversee the preparation of monthly accounting reports and maintain consistent interaction with staff to monitor the financial progress of contracts, grants and professional services agreements.
Prepare and maintain supporting documentation, and submit financial reports and billing statements to funders in a timely manner.
Assist pertinent staff with budgets and budget revisions for all grants, contracts and professional services agreements.
Assist with the preparation of annual budgets and mid-year reforecasts for all grants, contracts and professional services agreements, and monitor budget performance throughout the fiscal year.
Process and manage vouchers for various funding sources
Ensure that the organization fully spends down all grants and other restricted revenues appropriately via continuously tracking revenue and expenses for all grants and restricted revenues.
Meet regularly with program personnel on compliance issues, spending rates, and adherence to budget.
Manage and execute monthly billing process by required deadlines.
Maintain and submit all financial grant paperwork, including budgets, budget amendments, and billing documentation.
Maintain and track grant and restricted revenue budgets.
Manage timesheet allocation process to ensure accurate time and effort reporting in accordance with grant requirements.
Review all expense reports to ensure they are in alignment with grant requirements
Assist in preparing for annual audits.
Assist in OfA’s accounting policies and procedures relevant to contracts, grants and professional services agreements.
Maintain strict confidentiality. Comply with all contractual and regulatory requirements.
Assist in the development of indirect rate models and proposals.
Perform other tasks as assigned by the Business Manager and Executive Leadership Team.
Bachelor’s Degree in Accounting or Finance is preferred, but not-for-profit experience in the finance/accounting area can serve as a substitute.
QuickBooks and/or QuickBooks Online experience is required.
Minimum 2 years not-for-profit and grant experience
Belief in the OfA mission and work of the organization
Ability to accept guidance and supervision and work with team members of various backgrounds
Must be extremely detailed oriented, organized, and have excellent communication and analytical skills
Independent worker and analytical thinker with ability to conduct research, data analysis and resolve complex problems.
Proficient in the use of Microsoft Excel and Word required.
Bilingual language skills (English/Spanish) are a plus
