Scope: The Client Service Representative will provide front desk client services at the Schaumburg Township office location and provide back up coverage at the satellite offices. Responsibilities and job duties include: answering and processing phone calls, greeting clients and visitors, scheduling doctor’s appointments, opening and closing, collecting payments, printing tickets, customer service, charts, scanning, and other administrative support.
Part-Time, Non-exempt, Hourly, 26.5 hour work week
Must have some flexibility to work as a backup to other receptionists.
Greet clients as they arrive for appointments
Have client sign ticket and notify therapist/doctor of client’s arrival.
Ensure that KYC group clients are assigned a ticket.
Answer, screen and/or forward all incoming calls.
Collect client payment, provide receipt, and double check amounts for accuracy. Enter all cash payments immediately.
Doctors’ Appointments -
Call doctor’s clients to confirm following day’s appointments.
Maintain doctor appointment schedules.
Reschedule doctor appointments that were cancelled due to doctors’ absences.
Maintain an updated client waiting list for cancelled doctors’ appointments, and
Call doctors’ clients two days in advance to confirm psych evaluations.
Check client balances on CIS and assist in answering clients’ questions regarding monies owed, late cancellation fees, and failed fees.
Client Accounts Responsibilities
Post payments to client accounts.
Answer Client inquiries about their account; including information about their insurance plan benefits, which paperwork is still missing on the client’s account, and basic client account outstanding balance inquiries.
Other duties as directed by supervisor.

Knowledge of reception procedures

Ability to approach clients about balance owed
Ability to reconcile money collected with information on tickets
Knowledge of KYC programs
Interact with the public in getting or giving information
Understanding of crisis situations and procedures
Ability to deal with stress and work under pressure
Good organizational skills
Clear understanding of and compassion for mental illness
Provide assistance to therapists and/or physicians.
Bilingual (Spanish speaking) a plus
Education and Experience
Previous client/customer service experience required
Computer skills required
Two years of college preferred
Previous experience in an office environment preferred
Familiarity with social service environment preferred
