Provides day-to-day support for IWE’s Adult Education Unit and performs other assigned duties as needed.
Summary of Essential Job Duties:
Enters, in a timely manner, instructor, student, course, assessment and evaluation data into IWE’s database and proprietary grantor applications.
Issues training reports after each class is delivered using Microsoft Excel, Word, and Access.
Prepares training audit files.
Maintains customized training database for statistical and audit purposes using MS Access software and proprietary grantor applications.
Issues course paperwork and handouts for each course that is delivered.
Reproduces selective training materials for courses.
Issues certificates and other credentials for students.
Files training reports for audit purposes.
Makes first contact and follow up calls for students interested in Adult Education programs and to schedule TABE testing among others.
Interfaces with IWE’s Support Services Department to ensure that documents are maintained according to IWE’s and grantor’s requirements.
Supports Director of Adult Education with administrative aspects of the Adult Education Unit.
Performs other duties as assigned.
High School diploma with a minimum of 2 years of administrative assistant or clerical experience in a small department. Associate’s Degree in business, education, or general studies preferred.
Basic to Intermediate Microsoft Excel, Word, Access, and Outlook skills.
Ability to multi-task in a very fast-paced environment.
Self-directed, organized, and innovative with a well developed sense of customer service and professionalism.
Sensitivity to socially and ethnically diverse communities.
Good written and verbal communication skills both in English and Spanish.
