Description: Under the direction of the Executive Director, the Program Support Coordinator will provide program support to program staff. This will include data management, client phone intake and inquiries, volunteer development, administrative support to the Executive Director/Program Manager and Fiscal & Operations Manager, assisting with the coordination of events and technical supports, managing website and social media accounts, and maintaining oversight of all client materials and communications systems.
General Program Coordination
Maintain accurate records of program and event participation and other metrics.
Submit timely and accurate records and reports, newsletter articles and other information as requested.
Provide telephone and office reception (including client appointments, inquiries, telephone intakes and related data collection).
Prepare employee training and client materials (Crisis Response packets, Wellness Kits, etc.).
Prepare and send Crime Victim Compensation Reminder to families who have not applied.
Other duties as assigned.
Ensures new community resources and related events are entered into the Resource Database and Dashboards.
Process, document and send information packets to constituents as requested.
Routinely update and manage website and social media platforms with information about upcoming support groups & events (Facebook, Twitter and Instagram).
Volunteer Development and Coordination
Coordinate communication efforts that inform and support volunteer participation, retention and recognition.
Recruit and screen potential volunteers with the assistance of program staff.
Orient, train and place volunteers with the assistance of management staff.
Schedule and coordinate ongoing volunteer education.
Meeting and Conference Support
Provide video and audio technology support (teleconferences, webinars, live conferencing, etc.).
Provide support in the preparation of materials for presentations, organization events, Board committee meetings and staff meetings.
Record and distribute meeting minutes as requested.
Bachelor’s degree required.
Experience in Microsoft Office Suite and Database Management experience required.
Self-starter, excellent technical, verbal and written communication skills.
Experience with volunteer management, including volunteer management systems.
Strong organization skills to plan, implement and problem solve.
Ability to work with a wide range of people including corporations, foundations, and clients.
Minimum of two years of experience in an administrative capacity/office coordination role.
Ability to lift 20 pounds.
