The Assistant will support the Office of the Director of Research and work closely with the Director of Research and the Coordinator of Research Support. This is a part-time (15 hours per week), on-site position operating during regular business hours (8am-5pm, M-F) at our office in Chicago. Under general direction, this position will provide administrative support to the Office of the Director of Research. The Assistant will contribute to Chapin Hall’s research operations by providing critical support for proposal development, report production, organizational and administrative initiatives, special events, and partnership efforts. Accordingly, the successful candidate will gain a deeper understanding of how high impact, actionable research is conducted, coordinated, and disseminated in a vital, nimble, highly accountable non-profit environment by bringing crucial support to organizational research functions. Additionally, the Assistant will gain deep insight into the role performance of key organizational leadership at Chapin Hall.
The primary responsibilities of the position are as follows:
Provide administrative support to the Director of Research, tracking and submitting expenses; and making travel, meeting, and event arrangements.
Assist the Director of Research in preparing for internal and external meetings.
Work with other staff to support the planning and coordination of strategic initiatives, staff meetings, special events, and programs.
Assist with report and proposal production activities, including data visualization, writing, proofing, formatting, and creating tables.
Share resources to support staff training and track and store certifications.
Develop resources for administrative and research projects by conducting literature reviews or other background research.
Performs additional duties as assigned.
Education & Experience
Bachelor’s degree or current enrollment in a degree program and some experience in an office setting.
Very strong written and verbal communication skills, including the ability to clearly explain technical issues to non-technical/functional users.
Ability to work independently with a high degree of initiative while managing multiple, concurrent tasks.
Ability to maintain discretion and confidentiality on personnel and non-personnel matters.
High proficiency and fluency in MS Office applications.
Experience providing administrative and clerical support in a fast-paced environment.
Experience in a research and/or policy environment.
