The bookkeeper is responsible for the organization’s day-to-day accounting of accounts receivable, billing, invoice processing and printing a/p checks. The accountant also oversees insurance plans, performs employee verifications and completes unemployment claims. This position also serves as the back-up for the accounts payable and payroll functions.
Essential Duties and Responsibilities in Collaboration with Director of Finance:
Assist with Grant and Contract Management:
Knowledge and experience billing city, state and federal contracts.
Invoice funders and government agencies.
Assist with Accounts Receivable Function:
Record government and non-government invoices and cash receipts in the G/L monthly.
Monitor accounts receivable aging and collectability.
Assist with General Accounting Functions
Reconcile general ledger activity, prepare and post journal entries.
Prepare the monthly allocation of salaries, benefits, taxes and post to the G/L.
Collect and reconcile employee timesheets to allocations in the G/L.
Record employee time off.
Grant audits and the Fiscal audit.
Enter budgets into Fund-EZ
Attend meetings and trainings as needed.
Must be willing and able to travel to other organizations and banks in the Chicago area.
Prepare payables and write checks using the proper coding.
Manage the health insurance process with the Finance Director.
Assist in the preparation of employee reports for outside agencies.
Manage and organize files
Prepare payroll reports
Assist the Finance Director with payroll (transmittal, new employees, termination, etc. as needed).
Purchase office supplies for Finance Department.
Requirements for position:
Associates degree in Accounting
Job knowledge gained from actual relevant applicable work experience in Accounting
Minimal supervision required after reasonable training period
Good communicator able to handle interruptions and manage multiple accounting tasks
Self-starter with problem solving skills, attention to detail, and pleasant personality
Good time management skills, flexible, accommodating and able to meet deadlines
Knowledge of Payroll and A/P is a plus.
Knowledge of Fund-EZ is desirable.
Ability to communicate in Spanish and English is a plus.
