ESSENTIAL FUNCTIONS: Under the general supervision of the Program Director, is responsible for assisting office personnel at Onward Neighborhood with data management related duties.
DUTIES AND RESPONSIBILITIES:
Collect, enter and update data into the COPA data management system in all content areas as required;
Serve as an agency point of contact for CSD re: COPA data requests, training and reports;
Assist the Recruitment and Enrollment Coordinator in implementing of the universal pre-school application; Assist parents in completion of the application as needed;
Monitor COPA entry in all content areas on a regular basis; Inform Program Director of errors; Advise on solutions to effectively manage common data management errors;
Download reports from the COPA system as required bi-weekly, monthly, semi-annually and annually; Prepare data requests;
Establish and maintain files, records and reports; Discreetly handle (while adhering to confidentiality standards regarding staff, families and children’s records) sensitive information;
Assist in administrative duties including making copies, filing records and keeping agency binders updated; Assist managers/directors during monitoring reviews;
Attend staff meetings, in-service training, parent meetings, and other meetings and trainings as necessary;.
Participate in required orientation and training that includes but not limited to: COPA training on all modules, creating reports, Information technology certification program;
Maintains up-to-date on agency programs, policies and procedures, Head Start Performance Standards and the COPA Data Management System
Maintain an open channel of communication with the Program Director and Coordinators
Perform other related duties as assigned.
Must possess the ability to: Work cooperatively with others, understand and follow oral and written directions, meet schedules and timelines, plan, organize work and manage time, work confidentially and with discretion, follow rules, regulations, policies and procedures, be computer proficient
Minimum High School Diploma or GED;
COPA experience preferred
Excellent typing skills required
Must possess excellent attention to detail
Must possess good communication skills
