Trinity Christian College seeks a part-time Administrative Assistant for the Education department. The administrative assistant would work to support ongoing education and counseling programs. Specifically, the Education Unit work will encompass tasks related to managing criminal background checks and processing content test vouchers for Education programs. Additionally, this person is responsible for managing professional development and field experience paperwork for the undergraduate licensure programs. Also, this person will be responsible for processing payments and paperwork related to field and clinical placements and graduate programs. Finally, this person manages information for graduate field placements in the Special Education BIS program. Daytime hours 25 hours per week (Aug-mid-June), on-campus service not needed (mid-June and July).
The essential duties and responsibilities of this position include but are not limited to the following:
Arrange for, process, and distribute Criminal Background Checks
Send field, clinical, and graduate evaluation requests
Obtain and process cooperating teacher final log sheets, ISBE evaluation and Professional Development forms, and honorariums.
Keep an electronic file of all paperwork collected and disbursements made
Process mileage and pay paperwork for college supervisors
Process payments for services rendered to HR
Process mileage vouchers to the business office
Obtain and send thank you notes for field experience cooperating teachers and principals in all education programs.
Oversee distribution of content test vouchers
Send yearly letter about current teacher candidates to principals
Oversee collection of and processing for:
Maintain electronic documentation of traditional, adult, and graduate professional development
Oversee the collection of Commitment to Professional Dispositions each fall, traditional and adult student IEIN numbers, and Student Responsibility for Technology form
Maintain the Education Unit Home Site on Moodle
As part of office staff, share in delegating work as appropriate to a student worker
Secure gifts for student workers when needed
Process graduate paperwork
Work with the Director of the M.A. in Special Education processing BCBA student paperwork in a way that abides by licensing and certification requirements
Communicate progress on essential duties and responsibilities to supervisor on a monthly basis
Assume other responsibilities and duties as needed or assigned
Experience with administrative tasks and high school diploma or equivalency required with some college preferred. Great organizational skill and reasoning ability to match education student with appropriate placement. Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to prepare spreadsheets and develop electronic systems for tracking data.
