The Construction Safety Council was founded in 1989 as a non-for-profit organization dedicated to improving human safety performance and preventing accidents, injuries, and fatalities in the workplace by developing and delivering high-quality, cost-effective construction safety training. Reporting to the Office Manager, the Office Assistant performs administrative and clerical work to ensure smooth execution of training programs and efficiency in our office operations. We maintain a professional environment with office hours of Monday Friday, 7:00 am 3:30 pm.
Essential Job Duties and Responsibilities
Greet, welcome, and assist training attendees, guests, vendors, and other office visitors.
Answer and route incoming calls to appropriate staff and respond to inquiries regarding services, programs, facilities, and educational offerings.
Establish good working relationships with staff, students, businesses, and partner organizations.
Receive student registrations, create invoices, accept course payments, and track attendance and payment status in accounting system before/after training program delivery.
Submit electronic bank deposits of payments received via check.
Assist with data entry of training program content and student registration information.
Provide administrative support and reporting in advance of, and immediately following, training program delivery. Prepare classrooms, organize instructional materials, compile student evaluations, and support delivery of training certifications.
Plan, order, and receive daily catered meals (breakfast and lunch). Set-up food and drink items, replenish supplies as needed, and clean-up afterwards.
Monitor the inventory of office supplies and reorder, as necessary.
Retrieve and distribute inbound mail and assist with delivery of outbound mail and packages.
Monitor the activity and functioning of shared office equipment, including the photocopier and postage meter.
Keep all general office areas and personal workspace in a neat, orderly condition.
Support the annual construction expo and safety conference.
Occasional overtime required for after-hours trade shows, expos, and social events in the Chicago area.
Perform other duties as assigned.
High school diploma or GED required. Associate degree or bachelor's degree a plus.
Three or more years of administrative office experience.
Knowledge of office management systems, procedures and the use of common office equipment.
Ability to provide superior customer service, interact with others in a courteous manner and the ability to maintain confidential information.
Working knowledge of Microsoft Office Suite including Outlook, Word, Excel, & PowerPoint.
Familiarity with QUICKBOOKS a plus.
Fluency in Spanish a plus.
