The Development Coordinator is responsible for coordinating all aspects of an annual comprehensive fundraising plan, developed by the Executive Director in conjuction with the Resource Development Committee, and ensure all associated development activities are consistent with the organization’s mission, vision and values.
Essential Duties and Responsibilities
Development Operations • Create and implement systems for fundraising, coordinating year-round solicitation and stewardship activities for donors and executing fundraising events. • Maintains the fundraising database and ensures accurate donor record keeping. • Hold primary responsibility for implementing the fundraising plan, including coordinating the work of vendors, the Board of Directors, Executive Director and Resource Development Committee. • Adhere to the fundraising calendar, meeting deadlines and making adjustments to ensure achievement of goals. • Create and implement systems for effectively tracking individual and institutional donors. • Manage donor database and execute timely donor acknowledgement. Ensure accurate record keeping of contributions. Generate and scrub customized mailing lists for mailings and email campaigns. • Produce donor reports, analyze data. Reconcile donation records with accounting records. • Serve as liaison to database consultants. • Coordinate and provide staff support to the Resource Development Committee.
Individual Giving • Following the annual development work plan, serve as production manager for email and mail appeals, social media campaigns, e-newsletters, donor acknowledgements, and correspondence. • Coordinate with vendors, as needed. • Work with the Board, Resource Development Committee, and Executive Director to research, evaluate, identify, cultivate, and steward individual donors. • Create systems to ensure Board members follow up with prospects and engage new supporters for Kaleidoscope. • Develop and maintain a best-practice tracking system for major gifts fundraising and stewardship.
Special Events • Hold primary responsibility for coordinating the logistics associated with one major special event each year and selected small gatherings, including overseeing the work of an event planning firm.
Corporate and Foundation Funding • Oversee the preparation or submission of proposals, budgets, and reports. • Maintain a tracking system to ensure timely interactions and reporting. • Conduct corporate and foundation prospect research to identify new funding opportunities. • Assist the Executive Director with coordinating the work of a contracted grant writer, as needed.
Other • Model professionalism, hard work, and high ethical standards. • Protect the organization by keeping information confidential. • Effectively communicate organization’s goals and values, both internally and externally. • Actively participate in staff meetings. • Perform other duties as assigned.
Educational Requirements/General Qualifications
Minimum Degree Required: College degree Degree Preferred: Bachelor’s Degree and/or advanced training or certification preferred. Minimum Years of Experience: 2 years of development experience. Information Technology Skills Required: Microsoft Office and donor database Software Proficiency Other Requirements: Experience in the following areas:
Coordinating appeals and fundraising publications.
Coordinating special events.
Working with a Development Committee, Board of Directors, donors and community partners.
Managing fundraising database(s)
Using social media platforms professionally
Ability to work independently, managing multiple projects and conflicting priorities
Excellent coalition building skills with an ability to work effectively with a variety of internal and external stakeholders
Excellent interpersonal, oral and written communication and time management skills
Full time use of minimally insured, operating automobile and valid driver’s license
Must pass a satisfactory Motor Vehicle Report (MVR)
